Function
The pharmacy administrator provides comprehensive administrative and operational support to the pharmacy unit. The administrator supports routine outpatient pharmacy services and clinical research activities, ensuring accurate documentation, effective coordination, and compliance with regulatory requirements.
Responsibilities
- Provide administrative support to the pharmacy unit.
- Manage filing, scanning, archiving and data entry of pharmacy unit documentation.
- Coordinate pharmacy clinics appointments, prescription collections, and research medications schedules if needed.
- Support pharmacy meetings, schedules and correspondence as required.
- Support pharmacy involvement in clinical trials and research studies.
- Maintain study documentation including delegation logs, accountability logs, temperature logs and training records.
- Assist with tracking and documentation of investigational medicinal products under pharmacist supervision.
- Liaise with research teams if required.
- Support study activities such as monitoring visits and audits.
- Ensure documentation complies with roles and regulations in DDI and MOH.
- Support meeting ACI standards of quality.
- Maintain strict confidentiality and data protection standards.
- Support regulatory inspections, audits and monitoring visits.
- Assist with the review of policies and procedures.
- Support ordering, receiving, and documentation of medicines.
- Assist with procurement, cost calculations, and financial management of the unit.
- Prepare reports, trackers, and data summaries as required.
- Assist in preparing quality improvement reports and any related data.
- Act as a point of contact for patient queries related to the pharmacy unit.
- Communicate professionally with DDI teams as well as external parties.
- Support patients flow and customer service within the pharmacy.
- Liaise with medical teams regarding prescriptions refills if needed.
- Liaise with patient liaison officer regarding patients’ complaints.
- Perform other duties assigned by the Pharmacy Team Leader.

- Excellent attention to detail and accuracy.
- Strong organizational and time management skills.
- Excellent written and verbal communication skills.
- Fluent in Arabic and English.
- Excellent computer skills (Microsoft Office and databases).
- Ability to handle sensitive and confidential information appropriately.
- Experience in similar environment to the pharmacy or any clinical setting.
- Professional and team player.

Qualifications & Education
Bachelor's degree or diploma in business administration and/or healthcare management (minimum experience of 3 years).
