Function
Supports the Senior Manager in all aspects of managing the General Services department, including managing internal and external use of facility premises, including rentals, maintain mechanical, security, personnel, fire and safety equipment, contractors, waste management and hiring and managing facility and technical staff as needed.
Responsibilities
- Overseeing all facility contracts and its timely renewals and maintenance.
- Supervise on purchase requisitions, gate passes, inquiries and follow up for quotations for various general services works.
- Coordinate with concerned departments, whenever necessary on various requirements e.g.: payments, budgets, HR and staff issues , contractor details , maintenance related issues
- Follow up with contractors and monthly service reports.
- Updating records for contractor payments, purchase orders , purchase requisitions , quotations received
- Create and maintain General services department staff documents, evaluations and other information and all executive secretarial duties.
- Patrol the premises at regular intervals according to predetermined schedule to prevent and detect signs of intrusion and ensure security of doors & windows.
- Routine cleanliness inspection of staircases, both inside and outside the premises and review the services provided by the security and the housekeeping staff.
- Report to Senior Manager about any unusual occurrences and irregularities such as equipment/ property damage, theft, presence of unauthorized persons.
- Assist the Senior Manager and follow up with contractors working within the building for the various maintenance work.
- Prepare material requisitions and other maintenance related documentation, informing the Senior Manager of shortages in spare part inventories.
- Negotiate prices for maintenance / price repair works.
- Attend and participate in a variety of meetings and task force groups to integrate activities, communicate issues, obtain approval, resolve problems, and maintain specific level of knowledge pertaining to new developments, requirements, and policies.
- Perform and assist with any departmental operations, as required, or directed to maintain workflow or respond to emergency conditions.
- Responsible for maintaining the site in a high standard state of repair and appearance including all buildings and facilities, roads and pathways, grounds, and gardens.
- Sourcing contractors for building refurbishments, services and ensuring work is completed to standard and within the budget.
- Ensure that all systems are regularly maintained and assessed, appropriate records kept, and all related policies and procedures are reviewed and updated as necessary.
- Ensure the team provide timely furniture moving service to ensure supplies are in place and institute activities can proceed as expected. Regularly review inventory of office furniture
- Develops and maintains a relationship with all contractors and vendors ensuring efficient facility operations.
- Oversees and provides event coordination. Ensures proper scheduling of set up and take down of meetings, events, and prayers.
- Coordinate with all departments and implement procedures for handling, storing, safekeeping and destruction of hazardous materials.
- Regularly review and update department policy and procedure manuals incorporating input from vendors/contractors and staff.
- Submit plans of proper office allocation to Senior Manager as part of the office optimum space planning process.
- Recommend to the Senior Manager on the procurement, movement, and stock of furniture within the building.
- Any other duties as assigned by the Senior Manager.

Requirements:
- 4-6 years of experience in Facility Management.
- Knowledge of Microsoft excel word and power point.
- Critical thinking skills.
- Supervisory skills with honesty, integrity, and high accuracy.
- Ability to deal with contracting companies when required.
- Excellent customer service skills and commitment to high quality customer service.
- Ability to successfully manage different projects at once and meet deadlines.
- Ability to work independently and as a member of the team.

Supervisory responsibility in managing the department staff Responsible to lead and supervise staff of General services department.
Education:
Bachelor’s degree./ Certification in Facilities Management would be a plus.
